Cleverli ("we," "us," or "our") operates the Cleverli AI phone answering platform and related services. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, mobile application, and services (collectively, the "Service").

1. Information We Collect

Information You Provide

  • Account Information: Business name, email address, phone number, and billing information when you sign up for our Service.
  • Business Configuration: Custom greetings, business hours, menus, service types, and other settings you configure for your AI phone assistant.
  • Phone Number: When you provide your mobile phone number for SMS notifications, app access, or call forwarding.

Information Collected Automatically

  • Call Data: Inbound call recordings, transcripts, caller phone numbers, call duration, and call outcomes for calls handled by your AI assistant.
  • SMS Data: SMS message content, phone numbers, delivery status, and timestamps for text messages sent through our Service on your behalf.
  • Usage Data: Log data, device information, IP addresses, browser type, and pages visited on our website and app.
  • Push Notification Tokens: Device tokens for delivering push notifications related to incoming calls and service alerts.

Information from Third-Party Services

  • Google Account Information: If you choose to connect your Google account (e.g., for Google Drive receipt storage or Google Calendar integration), we collect your Google email address and a limited access token. We only request the minimum permissions necessary for the specific feature you are connecting.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the AI phone answering service.
  • Process and handle inbound phone calls on behalf of your business.
  • Send SMS messages to your customers (e.g., appointment confirmations, order confirmations) as configured by you.
  • Send you SMS notifications about incoming calls, missed calls, and account alerts.
  • Generate call transcripts, analytics, and reports for your dashboard.
  • Improve our AI models and service quality.
  • Send you service-related communications and updates.
  • Process payments and manage your subscription.
  • Comply with legal obligations.

3. SMS Messaging

Our Service sends SMS text messages that are transactional and informational only. We do not send marketing or promotional SMS messages. Messages include:

  • Appointment confirmations, reminders, and service updates sent to customers on behalf of businesses using the Cleverli platform.
  • Order confirmations and responses to customer-initiated inquiries.
  • Incoming call notifications, missed call alerts, and account alerts sent to business owners and authorized users.

SMS Consent and Opt-Out

  • You opt in to receive SMS messages by providing your mobile phone number through a website form, mobile app, or other explicit opt-in method.
  • Message frequency varies depending on your interaction with the business and your notification settings.
  • Message and data rates may apply based on your mobile carrier plan.
  • You can opt out of SMS messages at any time by replying STOP. Once opted out, you will no longer receive messages unless you re-subscribe.

  • SMS opt-in consent is not a condition of purchasing our Service.

SMS Data Sharing

We do not sell or rent personal information. We do not share phone numbers or SMS opt-in consent data with third parties for their marketing purposes. Information is shared only as necessary to provide SMS messaging services (via our provider, Twilio) and with the business owner whose AI assistant initiated the communication.

4. How We Share Your Information

We may share your information in the following circumstances:

  • Service Providers: We share data with third-party service providers that help us operate the Service, including Twilio (telecommunications and SMS), Deepgram (speech-to-text and text-to-speech), LiveKit (real-time voice communication), Google (Drive storage and Calendar integration), and cloud hosting providers. These providers are bound by contractual obligations to protect your data.
  • Business Owners and Their Customers: Call data, transcripts, and customer information are shared with the business owner whose AI assistant handled the interaction. Customer SMS messages are delivered to the intended recipient.
  • Legal Requirements: We may disclose your information if required by law, regulation, legal process, or governmental request.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. Call recordings and transcripts are retained according to your plan's retention policy. You may request deletion of your data by contacting us at support@cleverli.ai. We will retain and use your information as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.

6. Data Security

We implement appropriate technical and organizational measures to protect your information, including encryption in transit and at rest, access controls, and regular security assessments. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Google API Services

Certain features of the Service allow you to connect your Google account to enable integrations such as Google Drive receipt storage and Google Calendar synchronization. These integrations are optional.

Data Access and Use

  • Google Drive: When you connect Google Drive for receipt storage, we request the drive.file scope, which limits our access to only files that the Service creates or opens. We cannot access, view, or modify any other files in your Google Drive.
  • Google Calendar: When you connect Google Calendar, we access only the calendars and events necessary to provide appointment scheduling functionality.
  • Email Address: We request your Google email address (userinfo.email) solely to identify your connected account within the Service.

Limited Use Disclosure

Cleverli's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google data for the purposes described in this policy and as necessary to provide the features you have enabled.
  • We do not use Google data for serving advertisements.
  • We do not allow humans to read your Google data unless we have your affirmative consent, it is necessary for security purposes, to comply with applicable law, or our use is limited to internal operations and the data has been aggregated and anonymized.
  • We do not transfer Google data to third parties except as necessary to provide the Service, with your consent, or as required by law.

Revoking Access

You may disconnect your Google account at any time through the Service's settings. You may also revoke access through your Google Account permissions. Disconnecting will stop new data from being synced but will not delete data already stored in your Google account.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access, correct, or delete your personal information.
  • Opt out of SMS messages by replying STOP.
  • Opt out of marketing communications via the unsubscribe link in emails.
  • Request a copy of your data in a portable format.
  • Withdraw consent where processing is based on consent.

Our Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child, we will take steps to delete that information.
